Independence Asset Advisors, LLC (IAA) serves as the Chief Investment Office for the families and institutions it serves.  Its clients include medium size for-profit and non-profit institutional investors and family offices.  The firm provides conflict-free and highly tailored investment advisory services. We are currently looking for a new member to join our team in the role of an Executive Administrative Assistant. The ideal candidate will be responsible for a diverse variety of tasks related to the operations of the firm.


Role Description:

IAA seeks an associate to support to the firm's President and Chief Investment Officer and to assist other staff with administrative needs.

This role will focus on:

  • Executive and Associate administrative support

  • General office management

  • Special projects and initiatives based on need


Primary Responsibilities Include:

Provide administrative support to firm principal:

  • Calendar management

  • Travel and expense management

  • Maintain executive contacts

  • Presentation preparation

  • Maintain files and reading materials

Provide administrative support to firm associates:        

  • Download and maintain client investment files

  • Implement and maintain investment calendars and timelines

  • Prepare investment forms

  • Prepare presentations and meeting materials

  • Maintain mailing and email lists, and distribute communications

  • Manage CRM transition

General office administration:

  • Greet visitors and clients

  • Schedule client meetings and calls

  • Manage office stocking, stationery and marketing materials

  • Manage shipping, deliveries, mailing, bulk printing and shredding

  • Other tasks as assigned


Mandatory Qualifications:

5+ years of experience in an administrative role

A Bachelor's degree

Proven ability to exercise discretion and confidentiality confidential information

Attention to detail, strong writing and proof-reading skills

Strong technical skills:

  • Microsoft Office

  • Comfort learning new platforms and cloud-based processes/filing

Professional and polished communication skills

Preferred Qualifications: 

Experience in the financial sector

Desire to obtain notary public designation (at firm expense)

An independent self-starter who can anticipate firm needs
